Ridgeline Privacy Policy

Data privacy is important to Ridgeline, Inc. and its affiliates (collectively, “Ridgeline,” “we,” “us” and “our”). This Ridgeline Privacy Policy (the “Policy”) describes the information we collect about you when you visit our websites, register for or attend our events, or otherwise interact with us, how we use and share that information, and the choices and rights available to you.

This Policy applies to ridgeline.ai, ridgelineapps.com, and their subdomains, and to any other Ridgeline website that links to it (our “Sites”).

What this Policy does not cover. If you are a Ridgeline customer, the personal information you and your authorized users submit to the Ridgeline platform is governed by your services agreement with us and the Data Protection Addendum that forms part of it, available at ridgeline.ai/legal/main-services-agreement, and not by this Policy. Under those terms you are the controller of that information and Ridgeline processes it on your instructions. If you apply for a role with us, the information you provide as part of your application is covered by our Ridgeline Candidate Privacy Policy. This Policy also does not apply to information collected by third parties whose sites or services you reach through ours.

It is Ridgeline’s policy to comply with the privacy legislation of each jurisdiction in which we operate. Because those laws differ, some of the rights described here may not be available to everyone or in every jurisdiction. Region-specific information appears in the final sections of this Policy. Nothing in this Policy varies or amends any contractual obligation set out in an agreement with Ridgeline.

Who is responsible for your information

Each of these entities is an independent controller of the information it holds, and they share information with one another as described under “How we share information.”

Information we collect

Information you give us

• Information you enter on our forms, such as your name, business email address, company name, telephone number, and how you heard about us
• Information you provide when you request a demo, request information, subscribe to communications, register for or attend an event, enter a promotion, respond to a survey, report a problem, or otherwise contact us
• Content you submit to public areas of our Sites, such as blog comments
• Where relevant to an event, billing information and any dietary or accessibility requirements you choose to share

Some of our demos and interactive content are hosted on platforms operated by our service providers on our behalf, on domains other than the ones listed above. Information you submit there is collected for us and is covered by this Policy.

Information we collect automatically

When you use our Sites we and our service providers collect information about your device and your activity, including your IP address, approximate location derived from it, device and browser type, operating system, referring pages, the pages and content you view, links you click, and how long you spend on the Sites. We collect this using cookies and similar technologies.

For details of the specific technologies we use, the categories they fall into, and how to change your choices, see our Ridgeline Cookie Policy. You can change your cookie choices at any time through our cookie preference center.

We also use a session analytics service that records how visitors interact with pages on our Sites, including mouse movement, scrolling and clicks, in order to understand and improve how the Sites work.

Separately from cookies, our Sites use a website optimization and personalization service on our behalf. When a page loads, standard network information including your IP address and browser information is transmitted to that provider as part of the page loading process, which happens before you interact with our cookie banner.

Information we receive from others

• Identification of visitors and their organizations. We use service providers that seek to identify the organization a visitor to our Sites works for, and in the United States may also identify the individual visitor, by matching information about your visit against information those providers already hold. If you are in the European Economic Area, Switzerland or the United Kingdom, this operates only where you have given consent. If you are in the United States, it may operate when you arrive and you can turn it off at any time through our cookie preference center. Information we may receive includes name, job title, employer, business email address, professional profile details, and company information.
• Business contact and enrichment data. We obtain and license business contact information from third-party data providers and from public sources such as professional directories and regulatory filings, and we use it to identify potential customers and to add to or correct records we already hold.
• Advertising and analytics partners. We receive information about how our advertisements perform and how visitors reach our Sites.
• Business partners and event organizers. Where we co-host an event or sponsor a conference, we may receive registration and attendance information, including from badge scans.

Some of our advertising and analytics partners may combine information about your activity on our Sites with information they or others already hold about you, including information associated with your email address, and may use it to send you marketing or to recognize you across devices and websites. You can control this through our cookie preference center and through the industry opt-out mechanisms described under “Your privacy choices.”

How we use information

We use the information described above to:

• Operate, secure, maintain and improve our Sites and our services
• Respond to your inquiries, provide information and materials you request, and arrange and deliver demonstrations
• Plan and run events, including registration, billing, attendee networking, and health and safety
• Send you marketing and other communications about our products, services, events and insights, in accordance with your preferences and applicable law
• Understand how our Sites are used, measure the effectiveness of our marketing, and identify and prioritize potential customers, including by scoring and segmenting contact records to determine which communications are likely to be relevant
• Personalize content and deliver advertising that may be of interest to you, on our Sites and elsewhere
• Detect, investigate and prevent security incidents, fraud and other unlawful activity, and diagnose technical problems
• Comply with our legal and regulatory obligations, respond to lawful requests, and establish, exercise or defend legal claims

How we share information

Ridgeline affiliates. We share information among Ridgeline, Inc., Ridgeline Intelligence Ireland Limited and Ridgeline Intelligence Canada Limited for the purposes described above. Each acts as an independent controller of the information it holds, and each may market to and communicate with contacts in its own region using shared systems. Members of the Ridgeline group have entered into an intercompany data protection and transfer agreement that governs these transfers and includes the European Commission’s Standard Contractual Clauses.

Service providers. We share information with third parties that process it on our behalf, including providers of website hosting and content delivery, website optimization and A/B testing, analytics, customer relationship management and marketing automation, data warehousing, email delivery, event management, demo hosting, video hosting, information technology and infrastructure, and professional advisers.

Advertising and analytics partners. As described above and in our Ridgeline Cookie Policy, we work with advertising and analytics partners that receive information about your activity on our Sites.

Business partners and event participants. Where we run an event jointly with another organization, or where you have your badge scanned at an event, your information may be shared with that organization, with other participating vendors, and potentially with the entity sponsoring your attendance. If your badge is scanned by a third party at an event, that party’s privacy notice governs its use of your information. If you do not want your information shared this way, do not have your badge scanned.

At your direction. We share information with third parties where you ask us to.

Legal and protective disclosures. Ridgeline may disclose information where we have a good faith belief that disclosure is required to comply with applicable law or to respond to valid legal process, to protect and defend our rights or property, to protect the safety of you or others, or to protect the interests of our users or the public.

Corporate transactions. If Ridgeline is involved in a merger, acquisition, financing, reorganization, or sale of all or part of its assets, your information may be transferred as part of that transaction, provided the recipient is bound by obligations consistent with this Policy or you consent otherwise.

We do not sell your personal information for money. Some of our advertising and analytics practices may nonetheless constitute a “sale” or “sharing” of personal information under certain US state laws, because they involve disclosing online identifiers to advertising partners for cross-context behavioral advertising. See “Your privacy choices” and the United States section below for how to opt out.

International transfers

Ridgeline is headquartered in the United States and our Sites and systems are operated primarily from there. Your information may be collected, used, stored and disclosed in the United States, Canada, Ireland and other countries where Ridgeline entities and our service providers operate. In those circumstances, the courts, law enforcement, regulatory or national security authorities of those countries may be able to obtain access to your information under the laws of that jurisdiction.

Data protection law varies by country, and some of these countries may not provide the same level of protection as your home country. We apply the protections described in this Policy to your information regardless of where it is processed.

When we transfer personal information out of the European Economic Area, Switzerland or the United Kingdom, we rely on a valid transfer mechanism, which will normally be either:

• an adequacy decision of the European Commission or, for the UK, adequacy regulations made by the Secretary of State, where the destination country has been recognized as providing an adequate level of protection; or
• the Standard Contractual Clauses approved by the European Commission, together with the UK International Data Transfer Addendum where UK data is involved.

How long we keep information

We keep personal information for as long as we need it for the purposes described in this Policy, and then delete or anonymize it. Where deletion is not immediately possible, for example because information is held in backup archives, we isolate it from further processing until deletion is possible.

In deciding how long to keep a category of information we consider how long it remains necessary for the purpose it was collected for, any minimum retention period imposed by law, the limitation periods that apply to claims that could be brought by or against us, the sensitivity of the information and the risk of harm from unauthorized use or disclosure, and whether the purpose can be achieved by other means.

Marketing and prospect contact records are reviewed periodically and removed where you are no longer engaging with us. Cookie lifespans are set out in our Ridgeline Cookie Policy. Records we are required to retain for legal, tax, accounting or audit purposes are kept for the period the relevant law requires, and information relevant to an actual or anticipated legal claim is kept until the matter is resolved.

Security

Ridgeline maintains appropriate technical and organizational measures to protect personal information against accidental or unlawful destruction, loss, alteration, unauthorized disclosure and unauthorized access. Ridgeline personnel and service providers with access to personal information are required to keep it confidential and secure. No system is completely secure, and we cannot guarantee the security of information transmitted to us.

If you have login credentials for any password-protected area of our Sites, you are responsible for keeping them secure.

Your privacy choices

Cookies and tracking. Change your choices at any time using the privacy choices link in the footer of every page, or read our Ridgeline Cookie Policy.

Do Not Sell or Share My Personal Information. Opt out of the disclosure of online identifiers for cross-context behavioral advertising using the privacy choices link in the footer of every page.

Global Privacy Control. We recognize the Global Privacy Control browser signal and treat it as a request to opt out of the sale or sharing of personal information for the browser that sends it.

Marketing communications. Unsubscribe using the link in any marketing email, or email us at privacy@ridgelineapps.com. We will still send you communications necessary to provide services or information you have requested.

Interest-based advertising. Opt out of interest-based advertising from participating companies through the Digital Advertising Alliance at optout.aboutads.info and the Network Advertising Initiative at optout.networkadvertising.org. These are US industry mechanisms; in Europe, use our cookie preference center.

Analytics. Opt out of Google Analytics across all websites using Google’s browser add-on at tools.google.com/dlpage/gaoptout.

Access, correction and deletion. Email privacy@ridgelineapps.com or write to us at the address above. We respond within the time required by applicable law and may need information from you to verify your identity. Region-specific rights are described below.

Other websites and public areas of our Sites

Our Sites link to websites we do not own or control. This Policy does not apply to them, and we encourage you to read their privacy notices.

If you post to a blog, forum or other public area of our Sites, what you post can be read and collected by others and may remain publicly available. Please be careful about what you choose to disclose. Comments posted by individuals reflect their own views and not those of Ridgeline.

Children

Our Sites are directed to businesses and business professionals. We do not knowingly collect personal information from anyone under 16. If you are under 16, please do not submit information to us. If we learn we have collected personal information from a child under 16, we will delete it promptly.

Changes to this Policy

We may update this Policy from time to time. If we make material changes we will notify you by an appropriate notice on our Sites or by other means, which may include email if we have your contact details, and will obtain your consent where required by applicable law. Changes are effective on posting for new users and 30 days after posting for existing users. The “Last Updated” date above tells you when this Policy was last revised.

European Economic Area, Switzerland and the United Kingdom

This section applies if you are located in the European Economic Area, Switzerland or the United Kingdom, and supplements the information above.

Controller

If you are in the European Economic Area or Switzerland, the controller of your personal information is Ridgeline Intelligence Ireland Limited, 27/29 Orwell Road, Rathgar, Dublin 6, D06 FK54, Ireland, registered in Ireland under company number 814908. If you are in the United Kingdom, the controller is Ridgeline, Inc. You can reach the privacy team for either at privacy@ridgelineapps.com.

Our legal bases for processing

Where we rely on legitimate interests, we weigh those interests against your rights and freedoms. You can ask us for more information about our reasoning.

Information we obtain from other sources

Where we obtain your information from a third-party data provider or public source rather than from you, we will tell you which source it came from on request, and where required by law we will provide you with this information when we first contact you.

Your rights

You have the right to request access to your personal information and a copy of it; to have inaccurate information corrected or incomplete information completed; to have your information deleted in certain circumstances; to have our processing restricted in certain circumstances; to receive your information in a portable format or have it transmitted to another controller; to object to processing based on our legitimate interests, and to object to direct marketing at any time; to withdraw your consent at any time where we rely on consent, without affecting processing carried out before you withdrew it; and not to be subject to a decision based solely on automated processing that has a significant effect on you. We do not make such decisions about visitors to our Sites.

To exercise any of these rights, email privacy@ridgelineapps.com. We will respond within one month, which we may extend where permitted. There is no charge unless your request is manifestly unfounded or excessive.

Complaints

You may lodge a complaint with the supervisory authority in your country of residence, work, or where you believe an infringement occurred. In Ireland, that is the Data Protection Commission. We would appreciate the opportunity to address your concerns before you do so.

Canada

For the purposes of this Policy, personal information is information about an identifiable individual. In Canada this does not include an individual’s business title or business contact information disclosed for the purpose of business communications.

You may, at any time and on reasonable notice, write to privacy@ridgelineapps.com to access, update, correct, or request deletion of your personal information, or to withdraw consent, subject to legal and contractual requirements. In some circumstances we may not agree to change your personal information, in which case we will append an alternative statement to the record. If we cannot provide you with access, we will explain why, subject to any legal or regulatory restriction.

This Policy does not impose on Ridgeline any obligation, or create or confer on any individual any right, beyond those imposed by Canada’s federal and provincial privacy laws as applicable. If there is any inconsistency between this Policy and those laws in a specific case, this Policy will be interpreted in respect of that case to give effect to and comply with those laws.

You may also contact the Office of the Privacy Commissioner of Canada, or the applicable provincial privacy commissioner, with a complaint.

United States

California, Colorado, Connecticut, Virginia and other states with comprehensive privacy laws

Categories of information we collect. Identifiers, including name, business email address, postal address, telephone number, IP address and online identifiers. Commercial information, including records of events attended and services inquired about. Internet and network activity information, including browsing and interaction with our Sites and emails. Approximate geolocation derived from IP address. Professional and employment information, including job title and employer. Inferences drawn from the above, including our assessment of your likely interest in our products.

Sources. You, your device as you use our Sites, our affiliates, our service providers, advertising and analytics partners, third-party data providers, business partners and event organizers, and public sources.

Purposes. As described under “How we use information.”

Disclosure and sharing. We disclose each of the categories above to our affiliates and service providers for business purposes. We share identifiers and internet and network activity information with advertising partners for cross-context behavioral advertising. We do not sell personal information for monetary consideration, and we do not knowingly sell or share the personal information of anyone under 16.

Your rights. Depending on your state, you may have the right to know what personal information we have collected and how we use and disclose it; to receive a copy of it; to correct inaccuracies; to request deletion; to opt out of the sale or sharing of your personal information and of targeted advertising; to opt out of profiling in furtherance of decisions producing legal or similarly significant effects; and to appeal a denial of a request. We will not discriminate against you for exercising these rights.

How to exercise them. Email privacy@ridgelineapps.com, or use the “Do Not Sell or Share My Personal Information” and cookie preference links under “Your privacy choices.” We will verify your identity before responding, and we accept requests from authorized agents with proof of authority. To appeal a decision, reply to our response or email us with “Appeal” in the subject line.

Shine the Light. California residents may request information about disclosures of personal information to third parties for their own direct marketing purposes by emailing privacy@ridgelineapps.com.

Nevada

Nevada residents may submit a request not to have covered information sold by emailing privacy@ridgelineapps.com.
